Privacy policy
This privacy policy explains which personal data Amerpodia BV (hereinafter referred to as we or Amerpodia) collects both online (including via our websites) and offline and how we use this personal data.
In general, we collect and process personal data in order to be of service to you as a visitor or from third parties, including business relations. We are aware that personal data must be handled with care and that we must also be clear about this. We ensure that the necessary organizational and technical measures have been taken to guarantee safety. In this privacy policy we describe why we collect personal data and what we do with this data. We do this to the best of our ability, whereby the importance of your privacy and being able to serve you well will always come first.
Why do we collect and process your personal data?
Various personal data is collected. Your personal data is necessary for the correct processing of an order for cards and products via our website, webshop or by telephone and also so that we can inform you by e-mail, telephone or post of important information about your visit and also for the obligations arising from a concluded agreement.
Your order history is linked to your name and e-mail address. We will then have insight into when you have visited us and can be of better service to you. This is also useful for you so that you can always request when you have visited us and also to be of service afterwards (for example resending cards or a pro forma invoice). For marketing purposes, we draw up a profile or temporarily categorize you based on your order history with which we can approach you by e-mail with relevant information, for example in connection with other programs to be organized by us in the future. For strategic purposes we make anonymous analyzes based on the order history, gender and zip code.
What data is it?

When placing an order for cards, some information is required so that we can identify you as the rightful owner of the cards and some information is optional.

- address (street, house number, zip code, city) – mandatory if you want to receive the cards by post

- gender – optional
- date of birth – optional
In some exceptional cases we will ask you for your citizen service number (BSN). This could be due to a request from the national government necessary for the exercise of official authority. This occurs when you attend a program and members of the Royal House attend the same program. For security reasons, you will then be asked to provide your BSN. You have the choice not to share this with us. In that case you will not be able to go to the program and we will, in consultation with you, transfer you to another date if possible or we will refund the purchase amount. After the program, we will remove your BSN from our administration.
In most cases, we also ask for the company name, VAT and Chamber of Commerce number for third parties such as business relations. These are mandatory data.
The above personal data is processed for the following purposes:
- To be able to issue and send purchased cards and products.
- Inform about the program and products for which it was purchased.
- To be able to perform access control.
- To be able to send or address you personalized messages.
- Certain data such as zip code, place of residence, date of birth and gender are also processed anonymously for statistical, marketing and / or strategic purposes.
- For third parties, including business relations, we process this personal data for the accounts payable and debtor administration and for the obligations arising from the (production) agreement concluded.
- Payment details
Payment is provided by another party, a Payment Service Provider (PSP). The moment you agree with the order and want to pay, you will temporarily leave the webshop and you will be directed to a PSP. She takes care of the payment. You log in to your banking environment yourself or enter your credit card details. As soon as the payment has been approved, we will receive this and the order will be completed. No personal data is shared by Amerpodia in this process. We only give the PSP a code indicating the amount to be charged and the PSP will notify electronically via a code whether this has been successful or not. We do not receive any bank or card details. We do process your payment method, so whether you have paid with iDeal or credit card, for example.
For third parties, including business relations, we process the bank details for the creditors and debtors administration.
- Transaction data
We also collect and process the transaction data in your order history. This is necessary for the execution of the purchase agreement and your visit. This may concern: date and time program, product, number of cards or vouchers, type of dispatch of cards and registration of other options that may or may not be offered temporarily in the ordering process. This data is also used anonymously for statistical, marketing and / or strategic purposes.
- Account information
A login and any password are also created in the ordering process. These are recorded to facilitate a follow-up purchase in the webshop. One account can be created per e-mail address.
- Communication preferences
We would like to get in touch with you and stay in touch. We do this in different ways. A frequently chosen way is to communicate with you by e-mail. We have different types of emails you can receive.
- We always confirm your purchase by e-mail. This is an automatically generated message and is unavoidable.
- We can send you service emails until you visit a program. The purpose of this is to inform you about your visit, but also to inform you of a number of extra services that you can reserve to make your visit complete. You can unsubscribe from this in the link provided in the e-mail.
Even if you have unsubscribed, you can still receive an e-mail if we think it is important for your visit. You can think of, for example, a changed start time of the program or cancellation. In some exceptional cases we will also try to contact you by telephone. - We would like to stay in touch with you even after your visit. We are always curious about your experience and will often ask for it. If you have unsubscribed, you will not receive emails with a request to participate in a survey.
- Periodically we send a newsletter to only those who have indicated this via an opt-in when ordering tickets, registration via the website, use WIFI in the house, confirmation by e-mail if the registration, for example by telephone or in person, to the checkout is done.
- Correspondence Information
Messages that are sent to us via e-mail or social media are recorded and stored. You have the choice to respond to e-mails or expressions from us via e-mail or via social media. We keep this information for reference only. If we wish to share certain parts of your correspondence via media, we will ask for your permission in advance. - Image and / or sound recordings
During the visit to the program, video and / or sound recordings can be made. When we use these recordings for marketing purposes such as sharing videos or photos via social media or via other media such as the newspaper or TV, we will make this known in advance at the entrance of the house.
If a program is recorded for broadcast, a notification will be made in advance. You may then come into the picture. This will be announced in advance.
In these cases, you have the option to object and we will look for a suitable solution together.
In addition, recordings are also made for internal purposes that are not directly shared with the media. We use these recordings for our archive.
For security reasons, video recordings are made in the immediate vicinity of the house. These images are only used and shared with the police when there is a crime and / or offense.
Would you rather not share personal data with us?
If you do not want to provide certain personal data (name, address and e-mail address), a transaction can only be performed offline. We therefore offer you the option to anonymously purchase a limited number of tickets for a program or product at the cash desk of the house.
Sharing your personal data
Your personal data will not be sold to third parties.
Website
Our websites contain links to third party websites. If the visitor to the website follows these links, our website will be left. This privacy policy does not cover the use of the website of third parties and for this reason Amerpodia accepts no liability for the careless use of personal data or proper implementation of the regulations by these parties. We therefore advise you to consult the privacy statements of these third parties.
Your visit to a program and the house
Sharing your personal data with third parties
Amerpodia will in some cases share certain personal data about you with the caterer where the program is held if this is necessary for the visit. For example, if you have bought a voucher for a dinner, the caterer will be informed so that he can be of service to you. We will then only share your name and number of vouchers purchased.
How do we take care of your personal data?
Security data
Amerpodia makes every effort to provide an adequate and appropriate level of security for the personal data by taking appropriate organizational and technical measures against unlawful processing and / or loss. We conclude agreements with parties where your data is stored to guarantee this. In the event of a data breach, Amerpodia will inform you as soon as possible in a way that is most effective at that time. A data breach will also be reported immediately to the Dutch Data Protection Authority and we will carefully follow the instructions they draw up, within our ability.
Retention period data
Amerpodia does not store personal data longer than necessary for the implementation of the agreement and in any case no longer than necessary for the processing purposes in this privacy policy and complies with applicable laws and regulations. If you have registered via an opt in to receive our newsletter, we will keep your personal data until you have unsubscribed.
If it is no longer necessary to store personal data or in any case after five years after the last visit to a program, we will anonymize your personal data. This means that the data can no longer be traced back to you. You will receive a notification of this in advance and then have 30 days to respond. If you decide and let us know that you do not want to be anonymized, you will continue to have access to your account, order history and we can send you personalized communication, otherwise not. We register this as an opt-in for the newsletter. Once your data has been anonymized, it cannot be reversed.

You can delete some data yourself, such as cookies.
The retention period for personal data of third parties, including business relations is 7 years.
Access to, correction and deletion of data
Via the e-mail address info@amerpodia.nl you can object in writing to the use of certain data by us, or request access to, correction and / or deletion of your (personal) data. Any corrections communicated by you will be processed upon written request. Amerpodia will respond to your request as soon as possible, but within four weeks.
Amendments
There is a lot going on with regard to privacy and European and national regulations are constantly being adjusted and tightened. The consequences of the General Data Protection Regulation are now being worked out. For this reason, we will adjust our privacy policy if necessary. The currently applicable privacy policy is displayed on the website. This version was drawn up on May 17, 2018.
